February 5, 2010
Minutes


Called to order: 6:48pm, Bent Cover bookstore

Attendance: Craig Dyer, Stephanie Bannon, Bob LaPierre, Catherine Book, Sue Uttke, Gary Swaty, Mark Boniece, Marguerite Murray

1) Introduction of guests: none

2) Read and Approve minutes from last meeting. Motion to accept, seconded, and approved. 8-0-0

3) Treasurer s report. Motion to accept, seconded and approved. 6-1-1

4) Committee Reports:

Across+: No L, no report. No idea if they are doing sign-ins, they were supposed to hold new elections in January - subject to Board approval.

Book Donations: none

RandomCon: Meeting scheduled 2/21/10, 5pm. Dealers should be setup by then. We need 515 memberships to pay all bills, pass thrus, seed money and corp turnbacks We need 180 just to pay outside bills. Right now, we have 12 paid memberships.

OLD BUSINESS:

5) Has the modifications to the shed been completed? No, not yet. Did the coffeepot get moved into proper shed? Not yet,waiting for spring break.

6) Do we donate to Children First Academy this year? Approved 8-0-0

7) AniZona website will be backed up and closed down by EOM, Stephanie will post historical page to WSFA site. Paypal account is closed.

NEW BUSINESS:

8) Dues are due. Everyone here plus Lori are paid.

9) Time for elections. Move we elect all Procedural Officers, replacing Shane with Sue, no other nominations. Approved 8-0-0. Ditto for elected Board Officers, replacing Shane with Catherine. Approved 8-0-0

1) Introduction of guests: Jeanne Campbell, Danielle Kemper, Krystle Hastings, Josh Davis

2) Read and Approve minutes from last meeting. Motion to accept, seconded, and approved. 5-0-1

3) Treasurer's report. Motion to accept, seconded and approved. 7-0-1

4) Committee Reports:

Across+: Elections were not held in January. Signins are being done by L. Anime Fest scheduled on May 22nd at Bookmans Phoenix. L wants to borrow a projector for the Anime Fest.

Book Donations: none

RandomCon: Guest of Honor is Ken St.Andre. There will be a charity event to benefit Children First Academy. Memberships are still slow, we expect it to pick up. Final meeting is May 23rd.

7) AniZona historical page has not yet been posted to SFA site. The AniZona site is completely closed down now.

8) Dues were paid by Len and Shane.

9) Secretary wanted to know if Yahoo list is current and was reassured that it is.

10) Danielle Kemper from Cosplayzone came to discuss the possibility of WSFA sponsoring a convention with our assistance. Much discussion ensued. It will be maybe in Feb 2011. They'll need seed money, help with filing for non-profit status. We can give them a small grant to get them started with their filing fees but we can't allow any more until after Random Con is over and we know if we're broke. Bob will help write an agreement. Motion to make recommendation to the Board to allow a small grant - 7-0-0. Danielle will be back to talk to us at next meeting.

11) Danielle also wanted to borrow one projector and two screens on June 1st weekend to take to AnimeKaigi in Flagstaff at NAU. Board must approve.

RandomCon: RandomCon was held Thursday July 8 through Sunday July 11, 2010 at the Windemere Hotel and Conference Center in Mesa AZ. The site's space was approximately the same as the 2009 event but with a better layout. The downside was it did not allow for overnight gaming in more than one room since the main conference center closed at midnight each night.

We had interest from the gaming community in having a dedicated gaming event but, unfortunately, that did not translate into actual large scale participation in either the planning stages or in attendance. Our 2010 real membership numbers were actually lower than 2009. In 2009 we had 231 paid members with all but a handful attending the event while in 2010 we had 243 members of which 85 were unpaid pass-throughs making for a paid membership of 158. Based on the number of pass-throughs that were not picked up we actually had fewer people on site than we did in 2009.

Financially the 2009 convention lost $4500 more or less and the 2010 convention stood to lose the same or more based on decreased paid attendance and increased function space costs. Due to some fortuitous, for us, problems with the hotel our actual financial loss may end up being $2000 instead of the $4000 it should be. I have sent a check to the hotel for $1800 as payment in full for the function space so we need to see if they accept it or hit us up for the additional $2000.

Bottom line is that while the game community expressed a desire to have their own, dedicated event, over the past two years RandomCon has lost between $6500 and $8000. The game community does not seem to want to support the event as there are numerous free venues available to them that were not available in the past. It can be noted that the gamers still populated Gamers Inn on RandomCon weekend instead of supporting the convention even though the store is less than 5 miles from the convention. It is recommended that RandomCon be laid to rest as we cannot sustain the continued financial loss.

7) Donated $150.00 to Browncoats for Equality First, check already mailed.

8) Danielle Kemper from Cosplayzone filed her corporation papers & cashed our check. No word on the (c)3 status.

9) Craig bought two new floor mats for supplies.
