Western SFA Quarterly General Membership Meeting
February 4, 2011
Minutes


Called to order: 6:45pm, Bent Cover bookstore

Attendance: Marguerite Murray, Gary Swaty, Bob LaPierre, Lori LaPierre, Craig Dyer, Richard Bolinski, Stephanie Bannon, Mark Boniece, Sue Uttke, Catherine Book

1) Introduction of guests? none

2) Read and Approve minutes from last meeting - no minutes to read, the Secretary was late to last meeting and Stephanie's notes are MIA. Motion to waive reading the minutes, seconded, and approved. 10-0-0

3) Treasurer's report. Treasurer's Report is sitting on the table in Stephanie's house. Motion to waive reading the report, seconded and approved. 7-0-1 The Treasurer will email the report to the Secretary.

4) Committee Reports:

Across+: No L, no report.

Book Donations: We got two very nice thank-you cards from Children First Academy.

OLD BUSINESS:

5) Has the modifications to the shed been completed? All done! Maybe we should have a shed-warming party!

6) AniZona historical page posted to WSFA site? Yep, it ain't purty but she finally did it. Purty will come later.

7) Bob was assigned to talk to the Across+ group. He did so and instructed them to make regular reports. Tara Bryson informed him that she would be the contact person and make reports. They were warned that if WSFA didn't get regular reports, we would drop Across+ and no longer be fiscally responsible for them. Several items, particularly games, have gone missing over time. We've also lost a cooler and a crockpot. General consensus is that it is a waste of time to try to recover the items. Motion to drop Across+ due to failure to keep WSFA informed with regular reports, seconded and approved 7-0-3. Motion to write a letter and include list of missing items seconded and approved 10-0-0

Stephanie will write a letter, President will sign and deliver to Across+ with a list of missing items. We will also return the remainder of their Petty Cash, approx. $8.00. Letter needs to be delivered prior to Feb 22, 2011 when our insurance expires.

8) Stephanie has still not sold the old stuff.

9) No news from Danielle Kemper.

NEW BUSINESS:

10) Inventory - In addition to the games and game equipment mentioned above we've also lost a cooler and a crockpot. Stephanie thinks she knows where the cooler is and will try to recover. Stephanie wants to move the missing items on the inventory list to the "disposed of" list due to their intrinsic uselessnessMotion, seconded and approved 9-0-1. Inventory list provided to the Secretary.

11) Elections: Motion to recycle all the same turkeys, seconded and approved 7-0-2

1) Introduction of guests: none

2) New members? None

3) Read and Approve minutes from last meeting. Motion to waive reading the minutes, seconded, and approved. 6-0-1

4) Treasurer s report. Motion to waive reading the report, seconded and approved. 6-0-1

5) Committee Reports:

Book Donations: 113 books and 60 DVDs plus asst shirts collected at LepreCon37, donated to Children First Academy.



OLD BUSINESS: 6) Were any of the missing items recovered from Across+? Attempt made but nothing's come home yet. Was the remainder of their petty cash returned? Yes, they signed a receipt.

7) Did Stephanie sell off the old stuff yet? No, ebay pretty soon...

Did Stephanie locate the cooler? Real life interrupted the search. Has the inventory list been updated? Not yet, same issue.

NEW BUSINESS:

8) Any more dues collected? Information Sheet will be updated.

1)   Introduction of guests:  Ron Book, Mike Griffin

2)   New members?  None

3)   Read and Approve minutes from last meeting.  Motion to waive reading the minutes, seconded, and approved. 4-0-4

4)      Treasurer’s report.  Motion to waive reading the report, seconded and approved. 5-1-1

5)      Committee Reports:

Book Donations:  no conventions, no donations

OLD BUSINESS:

6)                  Did Stephanie sell off the old stuff yet?  A work in progress…

7)                  Did Stephanie locate the cooler?  Yes.   Has the inventory list been updated?  Not yet, same issue.

NEW BUSINESS:

8)      Any more dues collected?  The membership list has been updated.

9)      Reviewed the Yahoo List and it is still current.

10)  CopperCon31 Program Director (Catherine) would like to borrow 3 of the InFocus video projectors with sound, 2 projection screens, and 1 DVD player.  Approved 4-0-1

11)  From Stephanie:  we own a bunch of game stuff that came from AniZona.  Is it okay to sell this stuff as well?  Approved 7-0-2

12)  Stephanie and Catherine have proposed that we use our website for book and movie reviews.  Possibly other things as well as we develop a plan.  Approved 4-0-1.  Everyone should plan to come to the Nov meeting with ideas and concepts.

Book Donations:  CopperCon31: 25 books, several t-shirts

OLD BUSINESS:

6)                  Did Stephanie sell off the old stuff yet?  Not yet but Stephanie will post on ebay and Craig’s List early in December for Christmas sales.  The DVDs were sold for $75.

7)                  Has the inventory list been updated?  Stephanie will do it over holiday season.

NEW BUSINESS:

8)      Cosplay Zone, Danielle Kemper, let the corporation lapse.  It was “administratively dissolved” because she failed to file her corporation report.

9)      Todd Miles from Across+ wants to know if Across+ has the rights to the name AniZona.  The trade name belongs to us until approx. 2012.  We will have additional information at the next meting as to how to transfer the web domain and the trade name.

10)  Our new page for book and movie reviews, The Nameless Zine counter counted approx. 250 hits in three months.  We own the domain name “The Nameless Zine.”

11)  Stephanie wants $60 to prepare bookmarks to advertise The Namesless Zine and distribute at TusCon, LosCon, and Tucson Book Festival.

12)  Shall we post “links of interest” on our website?  Approved 4-0-1.

13)  Randall had responded on email to Catherine that he’d be interested in contributing to a page on The Namesless Zine for podcasts and websites.  Should probably remind him.

14)  Bookmans is repurposing their Community Room.  Discussion of possibilities.  We might still be able to meet at Bookmans in another area.  Bob will check.  Fallback will be Stephanie’s house.
